Does this work with all Outlook apps?Yes. The signature is added as the message leaves Microsoft 365, not by the app, so Outlook for Windows, Mac, the web and mobile all get the same one.
Can we use our own custom HTML?Yes. Build a signature in the designer, or paste an existing HTML signature and the same rules apply to it.
Can we see what happened to an email after it was sent?Yes, on Business and above, as part of the Signatures add-on. Signature analytics shows each email by its subject: who it went to, whether it was opened and when, and which links in the signature were tapped, with replies and forwards counted in the same conversation.
How exact are the open figures?Taps are exact. Opens are counted by a 1x1 image in the signature and are approximate: Apple Mail and Gmail fetch images themselves, so those opens are counted without a place or a device, and a reader with images switched off is not counted.
Can the tracking be switched off?The image that counts opens can be switched off for any one signature. An administrator sees the whole company's email; everybody else sees only what they sent.
Can we target different signatures by team?Yes. A signature group is for a Microsoft 365 group, a shared mailbox, named people or everyone, and the groups are tried in an order you set, so a company-wide one at the bottom covers everybody else.
Can one email carry different signatures for different recipients?Yes. A group can sign only internal or only external recipients, or always or never particular addresses and domains. Each recipient then gets their own copy with the right signature, and everybody still sees the full To and Cc list.
Can one person have more than one signature?Yes. Give each job function its own signature group and pick one by typing a tag such as [Acme] in the subject or body. The tag is removed before the email is delivered, and replies in the same conversation keep the same signature.
